Payroll Coordinator / Office Manager (Part-Time or Full-Time)

Location: Escondido, CA
Compensation: $26-$35/hour, depending on experience

Position Overview

We are seeking a reliable, highly organized, and detail-oriented Payroll Coordinator / Office Manager to support daily administrative and operational functions while taking ownership of payroll administration and employee timekeeping processes. This individual will play a key role in ensuring payroll is processed accurately and on time, maintaining organized office operations, and supporting accounting-related administrative tasks.

The ideal candidate will have 3-5+ years of experience in payroll administration, office management, human resources support, or administrative operations. Strong attention to detail, the ability to work independently, and hands-on payroll processing experience are essential.

Hands-on ADP experience is required, with ADP Workforce Now experience strongly preferred. Candidates must have direct experience processing payroll and managing employee timekeeping records.

Key Responsibilities

  • Process bi-weekly payroll accurately and on schedule through ADP.
  • Review, audit, and approve employee timecards prior to payroll processing.
  • Monitor employee timekeeping records, resolve missed punches, and investigate discrepancies.
  • Maintain payroll records and ensure compliance with company policies and applicable regulations.
  • Coordinate and provide payroll-related reports and financial documentation to accounting partners as needed.
  • Assist with payroll reconciliation inquiries and follow-up requests.
  • Manage day-to-day office administration, including scheduling, office supplies, vendor coordination, and general communications.
  • Maintain organized electronic and physical filing systems.
  • Support employee onboarding activities, including new hire paperwork, I-9 verification, and personnel file maintenance.
  • Prepare routine reports, spreadsheets, and administrative documentation.
  • Handle sensitive employee and payroll information with professionalism and confidentiality.
  • Serve as a resource for employee payroll and timekeeping questions.

Required Qualifications

  • 3-5+ years of experience in payroll administration, office management, or administrative operations.
  • Proven experience processing payroll from start to finish.
  • Hands-on experience with ADP required; ADP Workforce Now strongly preferred.
  • Experience managing employee timekeeping and attendance records.
  • Experience supporting accounting functions and coordinating payroll documentation.
  • Basic knowledge of QuickBooks or similar accounting software.
  • Proficiency with Microsoft 365 and/or Google Workspace.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks, meet deadlines, and work with minimal supervision.
  • High level of discretion when handling confidential information.

Preferred Qualifications

  • Experience within hospitality, catering, service, retail, construction, or other fast-paced small business environments.
  • HR administrative or employee onboarding experience.
  • Prior experience supporting both payroll and office operations in a small to mid-sized business setting.
